JOB DESCRIPTION FOR RECEPTIONIST

Receive Visitors

  • Greet visitors/clients/vendors appropriately
  • Determine visitor needs in a professional manner
  • Direct visitors to correct person
  • Ensure back up when absent from reception desk

Answer Phone Calls

  • Answer and address incoming phone calls
  • Deal with queries and provide correct information
  • Take and deliver messages accurately and completely
  • Transfer all necessary inquiries to the related departments

Manage Mail

  • Sort and distribute incoming mail/parcel
  • Prepare outgoing mail for pick-up or courier
  • Organize courier deliveries

Monitor Security

  • Monitor people coming and going through the reception doors
  • Be aware of and report suspicious activity

 

Clerical

  • Answering enquiries in person, by phone and on email
  • Provide administrative support to all team members as necessary
  • Providing holiday cover for Tea Lady
  • Assisting Sales Planning & Admin Team on Daily Reporting Compilation when colleagues away for leave.
  • Checking and verify Sales Personnel’s i-claims supporting document
  • Assisting to prepare and send out DHL/Citylink courier when needed
  • Maintain equipment and report any malfunctions

Organize Meetings

  • Managing the meeting rooms booking in outlook system
  • Assisting in co-ordination and preparation of meeting rooms for all the meeting
  • Assisting meeting organizer to call IT Dept if there is an issue with TEAMS /video conference setup arrangement.
  • Maintain tidiness and cleanliness of meeting rooms at all time
  • Ensure all meeting rooms are properly equipped with stationery
  • Providing refreshments for meeting

Job Requirements

  • Diploma in a related field.
  • Prior experience as a receptionist or in a related field.
  • Consistent, professional dress, and manner.
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Good time management skills.
  • Experience with administrative and clerical procedures.
  • Able to contribute positively as part of a team, helping out with various tasks as required.
